Task Assignment Management

Assing a Task to one or more Associates

Sometimes there is a need to assign a common task to a group of your Associates. After the assignment and the (proposed) job completion, there is a need to check the individual work, make some comments, and send it back again for completion. This method will apply until all the tasks assigned to your Associates completed successfully. Now it is possible to open a Mykosmos form, put the subject of the job, add some notes, and attach as many documents as needed. Finally, complete a list of participating Associates (or Roles generally) and forward the form.

Each one of the Associates has the option to add comments, put questions, and attach more documents. In case he/she believes the job is completed or he/she will notify for the job progress then, forwards the form. The assignor gets as an Activity all the sent information and adds his comments or agrees that the Activity is Closed (done). In case there are corrections to be done, the job is forwarded again back to the assignee, and the cycle continues until successful completion.

Improve your Company by Correcting any systematic delays

The implementation of Task Assignment procedure can leave some lessons in our Company. The Chief Process Officer (or the Quality Manager) has to recognize any systematic causes that are the roots of those delays. The CPO can start a Corrective and Preventive Actions procedure to ask for improvement proposals in various parts of the Company's processes. Those Preventive actions may also cause the insertion of more checkpoints during the execution of some activities or other procedures.

Make Task Assignment provide Metrics.

The automation of the Task Assignment process allows for collecting some essential Metrics about times related to our Associates. For those Metrics, we can later put target values and assign them to Roles into the Company. Those targeted Metrics can then participate in the Company Objectives Metrics, particularly in the Processes Excellence section. Finally, through the Company Objectives, can join the final Balanced Scorecard and show their influence in the Company's excellence in the industry that participates.
