Meeting Management

Meeting also has its own Procedure

In reality, Meetings for job-coordination are nearly eliminated in a Mykosmos working environment. The Mykosmos Procedures provide coordination and also information by its Business Activities Monitoring. From the other hand, Meetings for decision making will continue to be necessary. So, everyone that has the right to start a Meeting has to provide in Mykosmos form the subject, the date and time, the place, and the agenda, as comments. Finally, a list of participating Associates has to be defined.

Meeting invitations and date/time acceptance

The forwarding of the Meeting form from the caller creates Activities to the terminals of participants. They have to agree or to propose another date/time. The caller makes the necessary adjustments, and the date/time and place of the Meeting are confirmed. Upon the previous confirmations, a final meeting Activity is sent to all the participants. After the Meeting ends, the caller has to complete in Mykosmos form the resolutions and conclusions that were made. Those resolutions then send to the participants to be firmly notified about the results.

Improve your Company by Correcting any systematic delays

The implementation of Meeting procedure can leave some lessons in our Company. The Chief Process Officer (or the Quality Manager) has to recognize any systematic causes that are the roots of those delays. The CPO can start a Corrective and Preventive Actions procedure to ask for improvement proposals in various parts of the Company's processes. Those Preventive actions may also cause the insertion of more checkpoints during the execution of some activities or other procedures. The workflow of the Procedure also can change to fit the changed or improved needs for the Meeting.

Make Meetings to provide Metrics

The automation of the Meeting process allows for collecting some essential Metrics about times related to coordination of work or decision making. For those Metrics, we can later put target values and assign them to Roles into the Company. Those targeted Metrics can then participate in the Company Objectives Metrics, particularly in the Processes Excellence section. Finally, through the Company Objectives, can join the final Balanced Scorecard and show their influence in the Company's excellence in the industry that participates.
