Mykosmos Features.

User Interface that contains only essential elements

In Mykosmos the user is considered mainly as an associate. Every associate has "Activities" to work on, "Info" to read, "Procedures" that owns and administers, "Mail" to manage. All of the above is related to "Businesses" and "Contacts". In cases that the role of an associate is that of the CPO then an analogous "CPO Control Panel" is provided. Organogram inspection also provided when the associate acts as the head officer of a company's department

Incoming Activities to close

The activities are coming to the associate's Mykosmosl from processes that activated throughout the company, according to the role or roles assigned to associate. The activity shows also to other associates that share the same role. The activities can also be assigned exclusively by the name. When an activity closes by forwarding disappears from the associates mykosmos. The associate can view the full history of the process the activity belongs.

Closed Activities

Any Activity that is closed remains in a separate list. And stays there until the Process in which the Activity belongs also closes. The associate can set some data to the Activity that misses to do initially, attach some documents or put data that are required later by his colleagues. An Activity remains there as long as the process to which belongs is active.

Associate as a Process Owner

Usually the situation is that an associate that is a process starter owns also that process. So a list is provided to the associate that shows where the open activities of the process are. This shows by role and or by name. This list shows only the processes that are active.

Incomming Info

The infos are coming to the associate's mykosmos from processes that activated throughout the company, according to the role or roles assigned to associate. The info shows also to other associates that share the same role. The info can also be assigned exclusively by the name. The info remains in the list until the process, they belong, closes.


The mail is coming to the associate's Mykosmos according to the mail accounts that the role or roles assigned to associate. The mail shows also to other associates that share the same role. It is obvious that the mail accounts are given to certain roles instead of an associate's name. The mail can be assigned also exclusively by the name but in this case the associate must have an exclusive mail account. The mail and their attachments are converted to documents an can be used as starters to processes throughout the company.

Business Partners

The processes, activities, infos and mails mentioned so far mainly are related to business partners of the associate's company. So the associate has a list that contains all the business partners that are serviced by him or service him by a role or roles the associate is assigned. Every process, activity, info or mail that relates to a specific business partner is shown in a specific form so a holistic picture of the business partner is available when necessary.


Some of the activities, infos and mails mentioned so far are related to contracts the associate services. So the associate has a list that contains all the contacts that are related by a role or roles the associate is assigned. Every activity, info or mail that relates to a specific contact is shown in a specific form so a holistic picture of the contract in question is available at any time.

Associate's Status

The associate has the ability to declare his/her status and to define also other colleagues to support his work, i.e. to replace him in activity execution an forwarding.

Assign Activities to one of more of your Colleagues

Put a subject and describe the activity in the form. Attach one or more documents to provide more information. Finally, select colleagues from a list to assign the job. The system then coordinates the process in order that the activities from each of the assignees checked for validity by you before considered as closed ones. The assignees can dispatch their activity further to other colleagues by starting subprocesses. The whole process does not finish until all the activities are closed by your validation as the initial assigner

Project Starting and Assignment

Just define a subject for the project. This is the first project activity and is assigned to you. Keep defining subactivities to the initial activity and assign them to your colleagues. The activities that go to your colleagues can be further subactivityed by them in order to cover every aspect of the assigned job. Naturally, to every activity can be attached documents or job descriptions in order to describe sufficiently the activity. Finally, the project closes only when every of the subactivityed activities are closed until the first one.

Simple activity Assignment

Just write an activity description and assign it to you or any one of your colleagues. Attach as many documents as you wish. This simple activity assignment can be used for simple sub-activating to any other activity.

When simple Chatting is sufficient enough

In cases when there is a need to gather some information from our colleagues it is enough to start a chatting session. Chatting starts as a process with one activity assigned to the starter. The other participants, get only info items on their info lists. The process is closed when the starter decides to close the chatting activity. This chatting feature is mainly helpful for simple sub-activating of another assigned activity.

Other Processes

Mykosmos comes with a full developer's tool in order to build your processes your way. Ready packages exist for some processes as "Customer Complaints", "Corrective and Preventive Actions" and another will follow, but in reality each business does everything in its own way. Mykosmos can put automatically relations to all the standard entities that are predescribed in the standard system. The materialization of the above brings into reality the "Process of everything". What if I want more Entities to track down?

While Mykosmos developer adds more entities to the database system, i.e. materials sold, contracts signed, etc. and put them to "play" within processes, new trackings are generated automatically for the participating entities. So a full "processing view" of the new entity can always be available!

Write Processes Scenarios in an easy Scripting Language

Mykosmos developer can write any process scenario as soon as hears it or read it. For this purpose the scripting language used is AutoScript. In AutoScript there is possible to express activity simple splitting, parallel splitting for defining before paths (i.e. 3 or 4) or generally (i.e. count or in parallel splits). The code entity that coordinates the process is called "coordinator agent". There is a possibility also to script "finite state machine agents" (FSM agents) to express virtually any process path. "Planner agents" can also scripted for time critical situations (mainly as starters for simple activities or olther processes).

Create Tables and Fields to support your needs

Mykosmos developer can define tables as entities with fields and indexes. The fields can be related to other tables. The core of the system contains two hundred tables that are named (AU_*) and are the basic enterprise entities. The developer can add not only new tables (local tables) and fields, related to any core or local table, but also to define extra fields to core tables. This way any type of entity construction and relations can be achieved.

Design Forms, Reports, Cube Reports and Dashboards

For any table or recordset the developer can design new forms. The forms can be used for editing data or browsing data. AutoScript can be putted into the forms in order to achieve any functionality that is required. The forms (resources generally) are kept by the system as separate small files and are stored to the application server and send to the user's terminal upon request. No compilation or program exit! In Mykosmos the developer works as a usual user, but on right mouse click he/she can design anything and then has only to publish that to application server!


AutoScript is the scripting language that comes embedded in Mykosmos system. It is primarily designed for use by a person that understands simple programming principles (if/then, for/next), simple database principles (tables/fields/relations/SQL select) but has a strong understanding of what it could be business automation or can understand it when it hears that for someone else that has this understanding. AutoScript can be used for everything in Mykosmos. It’s obvious that Mykosmos uses only one simple scripting language for anything (either server-side or client-side)

Where are laying the activities? Which role has more activities that others? All those questions can be answered by a cube report that relates the number of open (unfinished) activities to processes, associates, roles and departments. Easily can be spotted where there are bottlenecks to the enterprise.

Followup Setup and Delayed Activities

There is a possibility for the CPO to define standard times for some activities to be closed. Later, this time setup can be used in order to see which of the open activities are far from delivered in time. This is a general setup, but there is also possible for a process owner of a certain process to define closing times for every of the activities that he/she owns.

Define your Metrics

Mykosmos came having already some system metrics defined. A Mykosmos developer, having adequate knowledge of SQL for databases, can set new metrics. It only needs to define an SQL select query and periodicity. Set also the role or roles of the associates to view the metric. All the metrics that are permitted to view are shown to the "KPIs" menu selection of the standard user interface.

In this case the metric is related to entities that the system supports like businesses, associates, equipments or newer ones that the developer has added. In this case the SQL select query must be only slightly different from the standard one.

Set Targets to Metrics

When a metric value is critical for the enterprise, then a target value can be set. The associate's role that is defined as the "owner" of the target receives every one of the periodical values of the metric as opened activities. This is done in order to have a closer view for the metric as soon as possible in order to take the appropriate actions.

Define composite Metrics

A set of targeted metrics that are related to one department of the enterprise or some entity can be "packed" as a new composite metric. This metric can give a more holistic view of the enterprise performance. All the participating metrics must be targeted and also weights must be defined for each one of them. This targeted metric can also be assigned to a role for closer inspection.

The process coordinators assign activities to associates' roles. The activity later will be executed (closed) by the associate. But what if the activity is one that is executed in a production line where the machines (resource groups in Mykosmos vocabulary) are not always available? In this case the activity assignment itself is not enough so the activities have to be "scheduled" for specific "resource groups" at a certain date and time duration. The "Activities, scheduling" form shows the vacancies in a department's calendar and scheduling can be done.

Work using People and Resources

Now the activity scheduling has been done, it is time to execute that activity. There is a "scheduled activities execution" form. In the case, for example, of a production line the operator has only to provide workers to the "resource groups" and then "start", "interrupt", "restart" or "finish" the activity in real time. Workers can be moved (in real time) from one resource group to another, depending on the workload of the department. Finally, there is a detailed time usage of the resources. This vital information is not only for the calculation of the ABC but for a detailed activities tracking of the department.

Usage of Resource Groups and Costing

Some types of activities assigned are executed by "resource groups". Resource group is the usually named "cost center". It may me a machine in a production department or it may be an associate in the case of white collars assignment. The executing resource group can be defined by the process script or later. The enterprise can define costs per hour of the above resources. So when an activity is scheduled (tracked the exact execution time) then time usage of a resource group and other supporting resources can give the cost of the activity.

Usage of Cost Pools, Cost Drivers and Costing

In cases an exact time tracking of the activity is not feasible then we consider that the activity "consumes" resources from a "Cost pool". This cost pool can be expressed as work units that totally per year is contained in it. For example "number of drawings per year delivered" or "machine fixes per year" etc. So e cost per "work unit delivered" can be defined. In this case the activity must report the "units consumed". This number is known as "cost driver" and may put on every appropriate activity

The cost of the activity, in order to achieve full ABC, is also contains materials used by an activity. So the necessary calculations must be placed by the Mykosmos developer in the appropriate for this script. Also the usage of different types of cost sources is presented here as "hourly measured" or "cost driver measured" only for understanding purposes. Ultimately, every type of cost comes from a well defined cost pool.
